Email Configuration should be done to configure email server details and to set the email ids for incoming and outgoing email.
To set up a mail client it is necessary to configure an SMTP server that will take care of the delivery of your emails. This can be done by configuring the Email Server.
To configure an email server, in Settings, selectEmail and then select Server Configuration.
On the page that opens, you can set up the Server Configuration.
Server Name: An informal name that you will decide to identify the server (best to use the email provider's name, like Gmail or Yahoo).
SMTP Port Number: Here, the port number of the outgoing SMTP port should be provided. When choosing a port, only secure port settings are recommended. Port 25 or Port 587 can be used.
SMTP Server: The actual host name of the outgoing SMTP server as per specification, such as smtp.gmail.com should be provided here.
SSL: SMTP email transfer doesn't provide encryption. So, if you want to make your connection more secure, it's a good choice to use a STARTTLS or SSL/TLS extension, that employs a separate port for encrypted communication. Click True checkbox if your connection is secured.
Enter Server Name, Server SMTP and SMTPPort Number, select SSL Status and Save.
After Server is Configured, Email Id has to be configured for every role. From here, the emails will be sent.
To Configure Email Id, in EMail Menu, select Email Configuration.
On the page that opens, select the Role and Server. Enter Email Id from which emails will be sent, Password and Signature.
In No. of Mails, enter the number of emails that will be sent in an hour, and Save the Email Configuration.
Note: If too many emails are sent at a time, the sender Email Id can be blocked. When you provide the No. of emails per hour, the application accordingly sets intervals between subsequent emails.
You can create an Email Template with pre-written and formatted email content, using the parameters from the desired Parameter List. Email Template saves a lot of time and helps in sending consistent emails, without you worrying about creating content for an email every time.
To create an Email Template, in Email menu, click Email Template.
On the page that opens, click New, enter theTemplate Name, Subject and select the Parameter Type.
Enter the Email Content and select Parameters by choosing the desired parameter, and clicking the Add button. The WYSIWYG Editor icons allow you to format text, add Styles, change font alignment and colours, insert bulleted and numbered lists, add tables, links, images, videos and also write posts in HTML.
To attach files, click the Attach File button and select the files you need to add.
You can see the list of templates created in the Table on the right.
In Communication Settings, you can set the Email Ids for incoming and outgoing Emails for different types of Services.
To set the communication settings, in Settings, selectEmail and then select Communication Settings.
On the Page that opens, you can set the communication settings for aCommunication Service Type by checking the Email Required box, and selecting From and To Email Ids as applicable.
